REGISTRATION
You can register for Before/After School Care and Holiday Programmes via AimyPlus or support is available at any of our programme sites.
Please note: Your place(s) in the programme is not secured unless registration has been completed and you have received a confirmation email sent from our office.
It is the responsibility of the parent to ensure all enrolment information is updated. You agree to provide accurate and up-to-date emergency contact details for your child, and ensure that any changes to these details are promptly updated inside AimyPlus and communicated to the programme coordinators.
SIGNING IN & OUT
All children must be signed in and out of the programme when dropped off or picked up.
K.A.S. Care is not responsible for children once signed out of the programme.
You must advise K.A.S. Care if your child is to be collected by any person other than those who are noted on the authorised pick up list.
Extra fees are charged if your pick-up time is over 8 minutes after your confirmed booking time.
ABSENTEES
It is your responsibility to inform the centre if your child will be absent by 1pm for after school care, and by 8am for morning care and holiday programme.
There are no refunds for absentees for sickness.
An admin late notification fee for all un-notified absentees may be issued.
Normal fees will apply unless you have given 2 weeks’ notice in advance.
POLICIES & PROCEDURES / HEALTH & SAFETY
You understand that with all children’s programmes there are risks involved.
K.A.S. Care manages risk by having and implementing our Policies and Procedures Manual which is available to view at your site. This document includes our child collection policy and complaints policy. This document also has safety procedures, as well as rules and boundaries for all children that must be complied with.
All care will be taken to provide supervision of all children attending the programme in accordance with OSCAR Policies and Procedures and at the judgment of the Children’s Programme Manager, Site Supervisor and staff. K.A.S. Care is not responsible for loss and damage to children’s possessions.
HEALTH
You hereby give consent for the K.A.S. Care staff to administer basic First Aid treatment if your child has a minor accident.
*You give permission for your child’s head to be checked for head lice by the programme supervisor. In the event your child has head lice, he/she may be asked to stay home until treated.
*You give permission for Arnica Cream, Bepanthen, or similar to bumps and bruises.
*You give permission for the staff to apply a N.Z. approved sun block. If your child/ren requires specific sun screen due to allergies or health conditions, this must be provided by the caregiver.
In the unlikely event of a medical emergency, it is the parents understanding that their child will be taken to hospital in an ambulance if necessary – parents or a contact person will be notified immediately. All medical costs incurred are at the child’s caregiver’s expense.
Any child with a fever, rash, sticky eyes, diarrhoea, or vomiting is required to stay home until 24 hours after symptoms settle.
For the benefit of all our children, staff and families, our before and after school care programmes cannot accommodate sick or badly injured children. Parents or emergency contacts will be advised to collect children who are unwell or need serious medical attention.
BEHAVIOUR
All programmes follow our Behaviour Management Policy and Procedures.
You give consent to the programme staff to use reasonable behaviour management strategies to ensure the safety and well-being of all children. If your child’s behaviour becomes a concern, you will be contacted to discuss appropriate next steps.
*We have a zero tolerance for physical violence and intentional damage to property or equipment. Parents/caregivers are notified of any disruption caused by their child. If the behaviour is considered a risk to others, your child will be removed immediately and excluded from future attendance. You agree to accept the cost of any damage wilfully caused by your child and you agree to pick up your child immediately if his/her behaviour is deemed unacceptable. No refund will apply.
PHOTOGRAPHS
You consent to your child being photographed or filmed during programme activities for use in training, marketing, promotional materials, Facebook or reports related to the programme, unless you specifically withdraw this consent further down the enrolment process and select ‘No’ as an option regarding permission to photograph my child.
SOLE CHARGE
You understand and agree to the programme utilising a Sole Charge Operator.
OFF SITE EXCURSIONS & TRANSPORT
You consent to your child participating in excursions or off-site activities that are part of the programme. These activities will be communicated in advance, and you will be notified of the date, location, and any special requirements.
Procedures for these excursions are outlined in our Policies and Procedures Manual.
In the event that your child/ren are transported to and from any venue in a private vehicle, you give authority and agree that they may do so and that the vehicle must be registered, have a current warrant of fitness and that the driver has a current, clean full driver’s license.
HOLIDAY PROGRAMME
Fees are payable for days booked irrespective of attendance.
Payment is required at time of enrolment to secure your child’s place in the holiday programme.
If your child will be absent on a booked day, it is your responsibility to contact the Programme Supervisor on the day.
You understand there are risks associated with your child attending the programme.
You have explained to your child the importance of following staff and safety instructions and remaining in designated areas and refraining from behaviour that could cause injury or damage to property or other children.
Children are to bring their own morning tea and lunch.
Afternoon tea is provided.
K.A.S. Care has a strict Sun Sense Policy. It is essential your child brings a sunhat and sunscreen, (and rash vest when swimming outdoors). It is your responsibility to sunblock your child BEFORE they arrive at the programme.
PROGRAMME ACTIVITIES
By enrolling your child in the programme, you consent to their participation in all activities organized by K.A.S. Care, including supervised play, sports, arts and crafts, and excursions (as applicable).
We aim to follow a programme and give acceptable notice of all changes to activities and programming; however, this is not always possible.
Please understand activities may change without notice if circumstances demand. K.A.S. Care is not obliged to offer any compensation for this occurring as limited numbers and other circumstances must be met to run all sessions.
PAYMENT & BILLING INFORMATION
You agree to pay for all booked sessions whether your child attends or not, including sick days, and understand that access to the programme may be withdrawn if fees are in arrears unless you have given two weeks’ notice for absentee.
An Admin Late Notification Fee may apply for all absences not previously notified to the centre.
Invoices will be sent weekly.
We encourage our customers to set up an automatic payment via internet banking to pay for their out of school care services.
Please use your invoice number and customer code as your reference. Automatic payments can be set up through your internet banking or through your bank.
WINZ SUBSIDIES
As a parent receiving a WINZ subsidy, it is your responsibility to ensure your OSCAR forms have been completed and returned to us, and that WINZ is making payment of the subsidy. You are to notify WINZ of a change in hours for your subsidy, or when your child/ren leave the programme.
You are required to pay the balance between the WINZ subsidy and the cost of the care you receive.
In the event that WINZ does not pay, you are liable for all fees.
PAYMENT TERMS & CONDITIONS
Fees are our only source of income. To operate efficiently we require that our fees be kept up-to-date.
You agree to pay fees, as per the current fee rates, weekly in advance on the first day of attendance and weekly thereafter.
In the event that your payment is dishonoured for any reason then you shall be liable for any dishonour fees incurred by K.A.S. Care.
If you default in payment of any invoice when due, you shall indemnify K.A.S. Care from and against all costs and disbursements incurred by K.A.S. Care in pursuing the debt including legal costs on a solicitor and own client basis and K.A.S. Care collection agency costs. In the event that it becomes necessary for K.A.S. Care to take legal action to recover any outstanding fees, you understand and accept that you will be liable for any and all costs arising from the undertaking of such action.
You agree to pay a 10% penalty (based on the amount owing) if your fees become in arrears. Without prejudice to any other remedies K.A.S. Care may have, if at any time you are in breach of any obligation (including those relating to payment) K.A.S. Care may suspend or terminate the enrolment and is absolved of its other obligations under the terms and conditions. K.A.S. Care will not be liable to you for any loss or damage that you may suffer because K.A.S. Care has exercised its rights under this clause.
By agreeing to these terms and conditions you authorise K.A.S. Care to:
- Collect, retain and use any information about you for the purpose of assessing your creditworthiness or marketing products and services to you, and;
- Disclose information about you, whether collected by K.A.S. Care from you directly or obtained by K.A.S. Care from any other source, to any other credit provider or any credit reporting agency for the purposes of providing or obtaining a credit reference, debt collection or notifying a default by you.
CHANGES TO CHARGES
We have the right to introduce and change fees and charges in connection with our services, we will notify you of any such changes.

PRIVACY & CONFIDENTIALITY
You shall have the right to request from K.A.S. Care a copy of your profile information retained by K.A.S. Care and the right to request K.A.S. Care to correct any incorrect information about you held by K.A.S. Care.
Information collection, sharing and retention is done keeping with relevant legislation requirements and is collected for a clear and lawful purpose. All information provided about your child, including personal, medical, and emergency contact details, will be kept confidential and only shared with authorised programme personnel as required. In the event of an emergency and the protection of the social welfare of a child or family member, Oranga Tamariki or the New Zealand Policy may be provided details to facilitate care. Furthermore, during programme reviews from the Ministry of Social Development, a Te Kahui Kahu accessor will be granted access to information to evaluate programme compliance with social sectors standards.
You acknowledge that the information contained herein is confidential, and pursuant to the Privacy Act 2020, will only be used by the K.A.S. Care team to effectively care for your child/ren and not used or distributed for any other purposes apart from:
Authorising K.A.S. Care to assess, collect, retain and use any information about yourself and to disclose information about yourself to any other credit provider or any credit reporting agency for the purposes of providing or obtaining a credit reference, debt collection or notifying a default and; representatives from the Te Kuhi Kahu OSCAR Approvals team, Oranga Tamariki or our Accountants may view this information as part of the programme assessment process.
CHILD PROTECTION DECLARATION
Staff may disclose information under under the Privacy Act 2020 and the Health Information Privacy Code (HIPC), Principle 11 and Code rule 11 generally prohibit the disclosure of personal information unless an exception applies, such as when the person concerned authorizes it or disclosure is necessary to uphold or enforce the law.

The terms and conditions detailed here are not exhaustive. Further terms and conditions are contained in the Programme policy documents, rules, notices, parent handbook etc.
The Programme reserves the right to add, amend, clarify or delete terms, conditions or policies at any time.
CONSENT POLICY
To ensure the safety and well-being of all children participating in our K.A.S. Care OSCAR programmes, we have created a Consent Policy. By providing your consent, you acknowledge that you are authorising the programme providers to take necessary actions for the care and supervision of your child.
PARENT/GUARDIAN CONSENT
By clicking “I accept and have read the K.A.S. Care Terms and Conditions of Service” during the user registration process, you will be deemed to have accepted these K.A.S. Care Terms and Conditions of Service and give consent for my child to participate in K.A.S. Care OSCAR programmes, and agree to the terms outlined in this Consent Policy.
WITHDRAWAL OF CONSENT
You have the right to withdraw your consent for any of the above at any time by notifying the programme staff in writing.
