REGISTRATION
You can register for After School Care and Holiday Programmes via Aimy Plus or support is available at any of our programme sites.
Please note: Your place(s) on the programme is not secured unless registration has been completed and you have received a confirmation email sent from our office.
It is the parents responsibility to ensure all enrolment information is updated when there are any changes to the current information provided.
SIGNING IN & OUT
All children must be signed in and out of the programme when dropped off or picked up.
K.A.S. Care is not responsible for children once signed out of the programme.
You must also advise K.A.S. Care if your child is to be collected by any person other than those already stated in your enrolment.
Extra fees are charged if your pick up time is over 8 minutes after your confirmed booking time.
ABSENTEES
It is your responsibility to inform the centre if your child will be absent.
An admin late notification fee for all un-notified absentees may be issued.'
There are no refunds for absentees, unless you have notified K.A.S. Care 2 weeks in advance.
For Holiday Programmes, refunds will be paid if changes to bookings are made 10 days prior to the booking.
POLICIES & PROCEDURES / HEALTH & SAFETY
You understand that with all children’s programmes there are risks involved.
K.A.S. Care manages risk by having and implementing our Policies and Procedures Manual which is available to view at your site. This document includes our child collection policy and complaints policy. This document also has safety procedures, as well as rules and boundaries for all children that must be complied with.
All care will be taken to provide supervision of all children attending the programme in accordance with OSCAR Policies and Procedures and at the judgment of the Children’s Programme Manager, Site Supervisor and staff. K.A.S. Care is not responsible for loss and damage to children’s possessions.
HEALTH
You hereby give permission for the K.A.S. Care staff to treat your child if a minor accident occurs.
In the unlikely event of a medical emergency, it is the parents understanding that their child will be taken to hospital in an ambulance if necessary – parents or a contact person will be notified immediately. All medical costs incurred are at the child’s caregivers expense.
Any child with a fever, rash, sticky eyes, diarrhoea, or vomiting is required to stay home until 24 hours after symptoms settle.
For the benefit of all our children, staff and families, our before and after school care programmes cannot accommodate sick or badly injured children. Parents or emergency contacts will be advised to collect children who are unwell or need serious medical attention.
BEHAVIOUR
All programmes follow our Behaviour Management Policy and Procedures.
Behaviour which is consistently harmful to others may result in dismissal from the program after all possibilities have been explored and the behaviour management procedure has been followed.
PHOTOGRAPHS
You acknowledge that photographs of your child or items of your child’s work completed at the K.A.S. Care programme may be used at a later date for training, marketing and promotional purposes, and on our facebook site. You hereby give your consent for this unless, further down the enrolment process, you select ‘No’ as an option regarding permission to photograph my child.
SOLE CHARGE
You understand and agree to the programme utilising a Sole Charge Operator.
OFF SITE EXCURSIONS & TRANSPORT
K.A.S. Care programmes will at times have special trips and activities that occur away from the main site.
You give authority for K.A.S. Care to collect or transport and deliver, your child/ren to the centre.
Procedures for these excursions are outlined in our Policies and Procedures Manual.
In the event that your child/ren are transported to and from any venue in private vehicle, you give authority and agree that they may do so and that the vehicle must have be registered, have a current warrant of fitness and that the driver has a current, clean full drivers license.
HOLIDAY PROGRAMME
Fees are payable for days booked irrespective of attendance.
Payment is required at time of enrolment to secure your child’s place in the holiday programme.
If your child will be absent on a booked day it is your responsibility to contact the Programme Supervisor on the day.
You understand there are risks associated with your child attending the programme.
You have explained to your child the importance of following staff and safety instructions and remaining in designated areas and refraining from behaviour that could cause injury or damage to property or other children.
You acknowledge that any damage, wilful or accidental, to K.A.S. Care or venue property will be your liability. K.A.S. Care is not obliged to provide compensation for this occurring.
Children are to bring their own morning tea and lunch.
Afternoon tea is provided.
K.A.S. Care has a strict Sun Sense Policy. Please ensure your child brings a sunhat, and sunscreen, and rash vest when swimming outdoors. Please ensure you sunblock your child BEFORE they arrive at the programme.
HOLIDAY PROGRAMME ACTIVITIES
We aim to follow a programme and give acceptable notice of all changes to activities and programming; however this is not always possible.
Please understand activities may change without notice if circumstances demand. K.A.S. Care is not obliged to offer any compensation for this occurring as limited numbers and other circumstances must be met to run all sessions.
PAYMENT & BILLING INFORMATION
You agree to pay for all booked sessions whether your child attends or not, including sick days, and understand that access to the programme may be withdrawn if fees are in arrears.
An Admin Late Notification Fee may apply for all absences not previously notified to the centre.
Invoices will be sent weekly.
You can pay with internet banking. You can also give us a call to discuss payment method.
We encourage our customers to set up an automatic payment via internet banking to pay for their out of school care services.
Please use your invoice number and customer code as your reference. Automatic payments can be set up through your internet banking or through your bank.
WINZ SUBSIDIES
As a parent receiving a WINZ subsidy it is your responsibility to ensure WINZ is making payment of the subsidy and to notify WINZ of a change in hours for your subsidy.
You are required to pay the balance between the WINZ subsidy and the cost of the care you receive.
In the event that WINZ does not pay, you are liable for all fees.
You agree to notify WINZ when your child/ren leave the programme and K.A.S. Care will not reimburse parents who do not stop the subsidy on the correct date.
PAYMENT TERMS & CONDITIONS
Fees are our only source of income. To operate efficiently we require that our fees be kept up-to-date.
You agree to pay fees, as per the current fee rates, weekly in advance on the first day of attendance and fortnightly thereafter.
In the event that your payment is dishonoured for any reason then you shall be liable for any dishonour fees incurred by K.A.S. Care.
If you default in payment of any invoice when due, you shall indemnify K.A.S. Care from and against all costs and disbursements incurred by K.A.S. Care in pursuing the debt including legal costs on a solicitor and own client basis and K.A.S. Care collection agency costs. In the event that it becomes necessary for K.A.S. Care to take legal action to recover any outstanding fees, you understand and accept that you will be liable for any and all costs arising from the undertaking of such action.
You agree to pay a 10% penalty (based on the amount owing) if your fees become in arrears. Without prejudice to any other remedies K.A.S. Care may have, if at any time you are in breach of any obligation (including those relating to payment) K.A.S. Care may suspend or terminate the enrolment and is absolved of its other obligations under the terms and conditions. K.A.S. Care will not be liable to you for any loss or damage that you may suffer because K.A.S. Care has exercised its rights under this clause.
By agreeing to these terms and conditions you authorise K.A.S. Care to:
- Collect, retain and use any information about you for the purpose of assessing your creditworthiness or marketing products and services to you, and;
- Disclose information about you, whether collected by K.A.S. Care from you directly or obtained by K.A.S. Care from any other source, to any other credit provider or any credit reporting agency for the purposes of providing or obtaining a credit reference, debt collection or notifying a default by you.
CHANGES TO CHARGES
We have the right to introduce and change fees and charges in connection with our services, we will notify you of any such changes.

PRIVACY & CONFIDENTIALITY
You shall have the right to request from K.A.S. Care a copy of the information about you retained by K.A.S. Care and the right to request K.A.S. Care to correct any incorrect information about you held by K.A.S. Care .
You acknowledge that the information contained herein is confidential, and pursuant to the Privacy Act 1993, will only be used by the K.A.S. Care team to effectively care for your child/ren and not used or distributed for any other purposes apart from:
Authorising K.A.S. Care to assess, collect, retain and use any information about yourself and to disclose information about yourself to any other credit provider or any credit reporting agency for the purposes of providing or obtaining a credit reference, debt collection or notifying a default.
And;
Representatives from the Ministry of Social Development OSCAR Approvals team, Oranga Tamariki or our Accountants may view this information as part of the programme assessment process.
CHILD PROTECTION DECLARATION
Staff may disclose information under the Privacy Act (Privacy Principle 11) / Health Information Privacy Code (Code rule 11) where there is good reason to do so - such as serious risk to individual health and safety. Disclosure about ill treatment or neglect of a child may also be made to the Police or Ministry of Vulnerable Children Oranga Tamariki under s15 and s16 of the CYPFA 1989.

By enrolling your child, you acknowledge that you have read, understand and accept the K.A.S. Care Programme Terms and Conditions.

The Programme reserves the right to add, amend, clarify or delete terms, conditions or policies at any time.
